INSIDE SALES REPRESENTATIVE / BUSINESS DEVELOPMENT I

Job Summary: This blended position involves taking incoming calls, quoting and order processing.  This person will be responsible for handling customer inquiries promptly and effectively in a fast-paced, team-oriented environment, while building market position by locating, developing, defining, negotiating, and closing business relationships with new and existing customers.

Duties & Responsibilities:

  • Ability to lead a high performing team with a positive attitude and strong leadership skills
  • Ability to approach every task with enthusiasm
  • Represents Westwind in a positive and professional manner
  • Work with all personnel and outside contacts to satisfy clients and achieve company goals
  • Identify areas of improvement in the company and assist in creating and implementing solutions
  • Sales administration duties are performed accurately and on time
  • Arrive to work and meetings on time and prepared
  • Perform any other duties assigned by your supervisor or manager
  • Conduct Contract Administration Requests including adds, deletes, and changes
  • Complete and maintain all contract reporting requirements
  • Respond to all RFQs on or before the due date or established deadline
  • Solicit bids from multiple vendors/distributors.
  • Accurately complete all quotes
  • Ensure margin is in-line with current management guidelines or with supervisor’s input
  • Immediately respond to all customer awards, purchase orders or delivery requests
  • Track all purchase orders (PO’s) and communicate ETAs, shipping information, or possible delays to the customer.
  • Process any return to manufacturer (RMA) due to equipment or software failures, or items received dead on arrival (DOA)
  • Conduct post sales follow-up with an email or phone call
  • Provide recommendations regarding the improvement of customer sales and retention tools and procedures
  • Assist with any accounts payable (AP) or accounts receivable (AP) issues
  • Participate in management meetings and take responsibility for sales improvement initiatives and other assigned action items
  • Actively participate in trade shows, events, and meetings/conference calls
  • Assist in completing sales projects including proposals and marketing materials


Experience and Required Skills

  • High School Diploma or GED Required with an AA or BA preferred
  • 1+ years of hands-on administrative support experience
  • Proficiency in MS Word, MS Excel and MS Outlook a must

ISO SPECIALIST

Job Summary:

To assist in maintaining accreditation of the ISO 9001:2015 standard, by maintaining and monitoring QMS procedures, challenging inefficiencies and working with team and middle managers to initiate changes to procedure and documentation where required. 

Duties & Responsibilities:

  • Ability to demonstrate a positive attitude
  • Ability to approach every task with enthusiasm
  • Assist Westwind’s Subject Matter Expert (SME) of ISO 9001
  • Ensures company achieves and maintains ISO certification
  • Sustains and advances the company’s Quality Management system to comply with ISO 9001:2015
  • Work closely with the QMS Manager and COO to facilitate the coordination of the Quality Management System and validate implemented processes
  • Assist with developing and preparing written in-house quality policies and procedures, and format processes consistently
  • Identify quality training needs. Develop and coordinate quality training programs
  • Promote quality objectives through the company memoranda, newsletters, and specific training programs
  • Audit/Review current existing quality procedures for compliance based on ISO requirements and audit history and develop/implement new ISO standards.
  • Uphold, coordinate, and perform internal quality process audits for company according to established quality system schedule
  • Analyze and recommend appropriate changes of quality procedures to respective managers to help improve their processes
  • Assist in overseeing the Quality Management System by maintaining the corrective/prevention action program; monitoring, evaluating, and assigning corrective action plans to appropriate personnel
  • Report ongoing activities to Executive Management/ Board members and keep the company’s continuous improvement efforts on track. Delivers quarterly ISO presentation
  • Prepares Quality documentation and reports by collecting, analyzing, and summarizing information and trends including failed processes, corrective actions and re-validations
  • Assist the COO in the role of Quality Management Representative for Westwind; Coordinate and administer third party Quality Audits and Certifications with third-party registrar, including the coordination of schedules, communication, reporting, and tracking follow-up actions
  • Obtain and uphold ISO trainings and Certifications specific to job role
  • Ensures company complies with NIST security requirements
  • Prepare quarterly NIST presentations to Executive Management
  • Inventory Related Duties & Responsibilities:
  • Develop an inventory system utilizing RFID initiatives

EXPERIENCE AND REQUIRED SKILLS

EXPERIENCED QMS SPECIALIST

Westwind is seeking an experienced QMS Specialist to manage and maintain the following:

Job Summary
To assist in acquiring and maintaining accreditation of the Quality Management System (QMS) to ISO 9001:2015 standard, by developing and monitoring QMS procedures, challenging inefficiencies, and working with team and middle managers to initiate changes to procedure and documentation where required. Additionally, responsible for maintaining Westwind and Roadrunner’s NIST compliance program utilizing NIST Special Publication 800-171 in close cooperation with Westwind’s IT leadership.

• 2 to 3 years of hands-on experience with policy and procedure management; AA or BA preferred.
